Refunds & Cancellation

Scope

This policy applies to professional engagements with Kaede Compliance Office — statutory financial audits, compliance readiness reviews, inventory observation, and agreed-upon procedures. It does not cover goods retail, software subscriptions, or services we do not offer.

Eligibility

Refunds are considered when work has not started, when Kaede cancels an engagement for reasons other than client breach, or when a written engagement letter expressly allows a partial refund. Fees for work already performed are generally non-refundable.

Timeframe to request

Refund requests should be emailed to hello@appnetflow.digital within 14 days of the event giving rise to the request (for example, cancellation confirmation or our notice that we cannot proceed).

Deposits

Statutory audits typically require a 30% planning deposit on signing. If you cancel more than 21 days before the scheduled fieldwork start and we have not begun planning procedures, the deposit is refundable minus a ¥50,000 administrative charge. Within 21 days of fieldwork, deposits are applied to time already spent on planning and document review; any unused portion may be refunded at our discretion.

Full or partial refunds

• Full refund: Kaede cancels before fieldwork for reasons unrelated to client delay or incomplete records; or mutual written agreement before planning begins.
• Partial refund: Cancellation after planning has started; unused prepaid amounts after deducting hours already incurred at the rates implied by the engagement letter.
• No refund: Report already delivered; inventory observation day already attended; client no-show for a scheduled count without 48 hours’ notice; materials or third-party confirmation fees already incurred.

Non-refundable items

Third-party confirmation postage or courier costs, travel already booked for inventory observation with your approval, and hours spent reviewing incomplete files after repeated unanswered request lists are non-refundable.

Process

Email hello@appnetflow.digital with the engagement reference, reason for the request, and preferred refund method (bank transfer to the account that paid). We confirm receipt within five business days and aim to complete approved refunds within 20 business days.

Rescheduling & no-shows

Inventory observation and on-site fieldwork can be rescheduled once without charge if you give at least five business days’ notice. Later changes may incur a rescheduling fee. No-shows for scheduled count days are billed for the reserved day.

Work already started

Once planning memos, sample selections, or substantive testing have begun, fees reflect time incurred. We provide a summary of hours on request when a partial refund is calculated.
